Privacy Policy

How we collect, use and protect your personal data when you use Find Space.

  1. Who we are

    findspace.com ("Find Space", "we", "our", "us") is operated by Steven Noble, trading as Find Space, a sole trader of [INSERT BUSINESS ADDRESS]. We are the data controller responsible for your personal data under UK data protection law (the UK GDPR and the Data Protection Act 2018).

    You can contact us about privacy at hello@findspace.com. We are working towards registering with the Information Commissioner's Office (ICO) as a data controller; our registration number will be added here once confirmed.

    This policy explains what personal data we collect through findspace.com and any related apps (the "Services"), why we collect it, who we share it with, and the choices and rights you have. It applies to Space Seekers, Space Owners, Suppliers, and anyone else who uses the Services. By using the Services, you acknowledge this policy; where we need your consent (for example for non-essential cookies or marketing), we will ask for it separately.

  2. Information we collect

    We collect the following categories of personal data:

    • Account data: name, email address, phone number, password, profile photo, business name, and role (Space Seeker, Space Owner, or Supplier). Source: you.
    • Listing data: Space or Supplier details you publish, including address, photos, pricing, availability, and access instructions. Source: you.
    • Booking data: booking dates, times, quantities, prices, and related messages. Source: you and the other party to the booking.
    • Messages: content of messages sent through the Platform. To help prevent users bypassing our fees, we automatically detect and mask contact details (such as phone numbers and email addresses) shared in messages before a booking is confirmed. Source: you.
    • Payment data:our payment processor, Stripe, collects and stores your card or bank details directly — we do not receive or store full card numbers. We do receive limited data from Stripe such as payment status, amount, and a masked card reference. Source: you, via Stripe.
    • Identity/payout verification: if you receive payouts as a Space Owner or Supplier, Stripe carries out its own regulatory identity checks and may ask you directly for identity documents. Find Space does not collect or store those documents; Stripe shares with us only confirmation of whether onboarding is complete. Source: you, via Stripe.
    • Device and usage data: IP address, browser type, pages visited, and general location inferred from your IP address. Source: your device, via cookies and similar technologies — see our Cookie Policy.
    • Support and correspondence: anything you send us when you contact customer support. Source: you.
    • Error and diagnostic data: technical details captured automatically when the Platform encounters an error, to help us fix bugs (for example browser type, device, and the page you were on). Source: your device, via our error-monitoring provider, Sentry.

    We do not knowingly collect government ID documents, biometric data (such as facial images), or criminal record data, and we do not carry out background checks on users.

  3. How and why we use your information, and our legal basis

    Where we rely on consent, you can withdraw it at any time without affecting the lawfulness of processing before you withdrew it.

  4. Who we share your information with

    • Other users: when you enquire about or book a Space, the other party receives the information needed to fulfil that booking (for example your name and contact details).
    • Stripe (payment processing and, for Space Owners and Suppliers, payouts and identity verification).
    • Supabase (our database and authentication provider, which hosts the data described in this policy).
    • Resend (our transactional email provider, used to send account and booking emails).
    • Sentry (error-monitoring, used to detect and fix bugs).
    • Google Analytics, but only once you have accepted analytics cookies — see our Cookie Policy.
    • Metricly, a cookie-free analytics provider that runs on every visit (it does not use cookies or on-device storage, so it is not gated by your cookie choice) and may process your IP address to measure site usage.
    • Regulators and law enforcement, where we are required to by law or to protect our rights or the safety of others.
    • A buyer of the business, if Find Space is sold or its assets transferred; we would tell you if this happens and how it affects your data.

    We do not sell your personal data. We do not share it with third parties for their own marketing purposes.

  5. International data transfers

    Some of the providers listed above (including Stripe, Sentry and Google) may process data outside the UK, including in the United States. Where this happens, we rely on legally recognised safeguards, such as the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or the provider's participation in an approved data protection framework. You can ask us for more detail about a specific transfer by contacting hello@findspace.com.

  6. How long we keep your information

    • Account data: for as long as your account is active, and for up to 6 years after closure to deal with any legal claims and to meet accounting and tax record-keeping obligations.
    • Booking and payment records: up to 6 years from the date of the booking, in line with UK tax and accounting record-keeping requirements.
    • Messages: up to 2 years, to support dispute resolution and platform safety, unless needed for longer to resolve an active dispute.
    • Device and log data: typically 90 days, for security and fraud-prevention purposes.
    • Marketing preferences: until you unsubscribe or ask us to delete them.

    We may keep data for longer where necessary to comply with a legal obligation, or to establish, exercise or defend legal claims.

  7. Keeping your information secure

    We use technical and organisational measures appropriate to the risk to protect your personal data, including encryption in transit, access controls, and using reputable providers (Stripe, Supabase, Resend and Sentry) that maintain their own security standards. No method of transmission or storage is completely secure; please use a strong, unique password and keep your login details confidential.

  8. Your rights

    Under UK GDPR, you have the right to:

    • ask for a copy of the personal data we hold about you;
    • ask us to correct inaccurate or incomplete data;
    • ask us to delete your data, where the law allows;
    • ask us to restrict, or object to, certain processing;
    • ask for your data in a portable, machine-readable format;
    • withdraw consent at any time, where we rely on consent.

    To exercise any of these rights, email hello@findspace.comwith the subject line "Data Privacy Request". We will respond within one month. We may need to verify your identity before acting on a request.

  9. Cookies

    We use essential cookies to run the Platform, and, only with your consent, analytics cookies (Google Analytics) to understand how the Platform is used. Analytics cookies are switched off by default until you accept them. See our Cookie Policy for the full list of cookies we use and how to manage your preferences.

  10. Children's privacy

    The Platform is intended for business and commercial use by adults and is not directed at, or intended for use by, anyone under 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.

  11. Third-party links

    The Platform may link to third-party websites, including Space Owner or Supplier websites and external booking pages. We are not responsible for the privacy practices of those sites, and recommend you read their privacy policies before sharing your data with them.

  12. Changes to this policy

    We may update this Privacy Policy from time to time. We will post the updated version here with a new effective date, and where changes are material, we will notify you by email or an on-Platform notice before they take effect.
